For the purposes of the work that AtClose performs and the regulations that we need to comply with, Personal Information refers to any information that relates to an identified or identifiable individual such as but not limited to:

  • Employment history and resume details (for job applicants)

AtClose operates in the United States and is committed to full compliance with applicable U.S. privacy and data protection laws. We recognize the importance of protecting the Personal Information entrusted to us and follow relevant federal and state-level regulations. Our privacy practices are designed to align with, and in many cases exceed, the standards established by U.S. privacy laws, including (but not limited to): 

  • The California Consumer Privacy Act (“CCPA”) and its amendment, the California Privacy Rights Act (“CPRA”)  
  • The Virginia Consumer Data Protection Act (“VCDPA”)

How We Collect Personal Information 

We collect Personal Information through the following methods: 

Directly from You 

We collect Personal Information that you voluntarily provide, including when you: 

  • Complete online forms, request a product demo, sign up for a webinar, subscribe to newsletters, or download resources. 
  • Submit a job application, resume, or other recruiting materials. 
  • Engage with us during business interactions such as onboarding processes, customer support communications, or contract negotiations. 

Automatically Through Website and Digital Technologies 

When you visit or interact with our website or online services, certain information is collected automatically through various technologies, such as cookies, tracking pixels, web beacons, and analytics platforms. This information includes: 

  • Browser type and version, operating system, and device identifiers. 
  • Internet Protocol (IP) address and approximate geolocation. 
  • Session details, such as date and time of visit, pages viewed, links clicked, and session duration. 
  • Performance metrics and usage patterns that help us improve the functionality, security, and user experience of our services. 

From Third Parties and External Sources 

We also collect Personal Information from trusted thirdparty sources, including:

  • Affiliates and partners: AtClose is a subsidiary of Visionet Inc., a global technology services company. In the course of joint business operations, we share and receive business contact information with Visionet and its affiliates to facilitate project coordination, service delivery, and the development of joint offerings. 
  • Social media platforms: We collect publicly available profile information from platforms like LinkedIn, including job titles, industry, and company affiliations, to better tailor our outreach and engagement efforts. 
  • Publicly available sources, directories, or professional websites to enhance lead generation, marketing initiatives, or recruitment activities. 

How We Use Your Personal Information 

We use your Personal Information for the following purposes: 

  • To respond to inquiries and provide customer support: we use your information to address your questions, process your requests (such as demo scheduling or resource downloads), troubleshoot issues, and ensure that you receive timely and effective assistance throughout your interactions with us. 
  • To deliver our Software as a Service (“SaaS”) offering: your information enables us to provide, operate, maintain, and enhance our products and services. This includes managing user accounts, processing transactions, personalizing features, and ensuring the secure and efficient delivery of our SaaS solutions. 
  • To analyze website performance and improve user experience: we leverage analytics and usage data to monitor trends, measure engagement, and identify opportunities to enhance the functionality, accessibility, and overall effectiveness of our website and digital platforms. 
  • To send marketing communications, where permitted: where applicable law allows, we use your contact information to share relevant updates, newsletters, product announcements, event invitations, and promotional content that we believe will be of interest to you. You can opt out of marketing communications at any time. 
  • To assess candidates for employment roles: when you submit a job application, we use your Personal Information such as your resume, qualifications, and interview responses to evaluate your suitability for current or future employment opportunities and to manage our recruitment process. 
  • To comply with legal and regulatory obligations: we process and retain certain Personal Information as required by applicable laws, regulations, and industry standards. This includes maintaining records for tax, audit, compliance, or reporting purposes, as well as responding to lawful requests or legal processes. 
  • To protect our business and maintain security (where relevant): in addition to the purposes above, we use your information to detect and prevent fraud, unauthorized access, or other harmful activities, ensuring the integrity and safety of our systems, services, and data. 

Who has access to your Personal Information? 

We do not disclose your Personal Information to any party that is not authorized to process it. 
Access to your Personal Information is granted strictly on a needtoknow basis and is limited to internal personnel such as members of our management team, business units, and technical support staff. This access is solely for the purpose of managing our relationship with you and delivering our services. 

We disclose your Personal Information to the following categories of third parties under clearly defined and limited circumstances: 

  • Parent Organization and Affiliates: We share Personal Information with Visionet and other Visionet subsidiaries where such sharing is necessary or appropriate to support service delivery, internal administration, coordinated support, or other legitimate business purposes. 
  • Service Providers: we engage carefully selected thirdparty service providers to support essential business functions. These includes providers of hosting and IT infrastructure, cloud storage, customer relationship management platforms, marketing automation tools, analytics services, and other operational solutions. All service providers are contractually bound to process Personal Information securely and only in accordance with our instructions. 
  • Professional Advisors: we share your Personal Information with trusted professional service providers, including legal counsel, auditors, accountants, and insurers, to obtain professional guidance, meet regulatory obligations, or protect our legal interests. 
  • Legal and Regulatory Compliance: we will disclose Personal Information when required to comply with applicable laws and regulations, legal processes, or enforceable governmental requests. This includes disclosures to courts, law enforcement agencies, tax authorities, or data protection regulators. 
  • Business Transfers: In the event of a contemplated or actual merger, acquisition, reorganization, joint venture, asset sale, or other strategic transaction, your Personal Information will be disclosed or transferred to relevant third parties involved in the transaction, subject to strict confidentiality obligations. 

How do we keep your Personal Information safe? 

AtClose is committed to protecting the Personal Information we collect, process, and disclose about you. We maintain appropriate administrative, technical, and physical safeguards and take reasonable steps to protect your Personal Information from loss, misuse, unauthorized access, disclosure, alteration, and destruction. 

Some of the security measures we have implemented include physical security controls at our facilities, role‑based access controls, IT security monitoring, Secure Socket Layer (“SSL”) encryption, and authentication protocols. Access to Personal Information is strictly limited to employees, contractors, and approved third parties who have a legitimate business need to access it in order to perform their duties or provide agreed services. 

We also require all internal teams and external partners who process Personal Information on our behalf to adhere to contractual obligations that protect the security and confidentiality of your Personal Information. 

Where is your Personal Information stored? 

The personal information we collect from you is transferred to or accessed by our parent organization, Visionet Inc., and other Visionet subsidiaries and affiliates in different locations globally. We take appropriate steps to ensure that all transfers of personal information across borders comply with applicable laws and provide adequate levels of protection. 

We only transfer Personal Information to partners or other third‑party organizations when we are satisfied that appropriate safeguards are in place to protect your data. Where required, we implement legally recognized transfer mechanisms, such as standard contractual clauses or other approved data transfer agreements, to ensure your Personal Information remains protected when moved across jurisdictions. 

How long do we retain your Personal Information? 

We retain your Personal Information for as long as necessary to fulfill the purposes for which it was collected. This includes meeting operational, regulatory, legal, tax, and business requirements. 

Once the purpose for which your Personal Information was collected has been fulfilled, we will securely delete, anonymize, or otherwise dispose of the information unless a longer retention period is required.

Right to Deletion: You have the right to request that we delete Personal Information we hold about you, subject to certain exceptions permitted by law (for example, when retention is required for legal or regulatory obligations, fraud prevention, or contractual requirements). 

Right to opt Out of Certain Sharing or Sales: We do not sell your Personal Information for monetary consideration. However, certain types of data sharing may be considered a “sale” or “sharing” under U.S. state privacy laws such as the CCPA as amended by the CPRA. Right to NonDiscrimination: You will not be discriminated against for exercising any of your privacy rights. This means we will not deny you goods or services, charge you different prices, or provide a different level or quality of service because you made a privacy request.
